Maintaining a Workplace Platform at Scale: How Motomtech Supported SpaceIQ Through Rapid Growth

About SpaceIQ

SpaceIQ was a workplace and facility management platform that helped organizations optimize how they used physical space. Its cloud-based system integrated space planning, desk booking, move management, and workplace analytics into a single interface — giving facilities teams and real estate leaders real-time visibility into how their buildings were actually being used. SpaceIQ operated in the Integrated Workplace Management Systems (IWMS) market, a category that saw explosive demand as the shift to hybrid work forced companies to rethink their office strategies. Organizations that had previously managed space with spreadsheets and floor plans suddenly needed dynamic systems that could handle hot-desking, occupancy tracking, and scenario planning for a workforce that split time between home and office. SpaceIQ's platform addressed this shift directly, and as adoption accelerated, so did the demands on the engineering team. In 2022, SpaceIQ merged with iOFFICE and later became part of Eptura — one of the largest consolidation events in the IWMS space. But before that merger, SpaceIQ was growing rapidly as an independent company with a global customer base that relied on the platform for daily workplace operations. Keeping that platform stable, performant, and feature-rich while the user base scaled was the core challenge — and the reason SpaceIQ engaged Motomtech.

Results

Since its launch, the SpaceIQ platform has delivered tangible benefits like

100%

consistent maintenance of live applications,

The platform maintained high availability throughout a period of rapid user growth, with the Motomtech team's proactive maintenance and deployment improvements keeping downtime to a minimum. Enterprise clients managing thousands of daily desk bookings and space queries experienced consistent performance, building the trust that drove contract renewals and expansion.

30+

new features successfully implemented

New features were shipped on a predictable cadence, with the combined engineering capacity enabling SpaceIQ to keep pace with market demands. Capabilities that enterprise buyers were evaluating during procurement — including hybrid scheduling, occupancy analytics, and mobile booking — were delivered in time to influence competitive deals.

3x

stronger relationships with stakeholders,

The embedded team model created tighter feedback loops between engineering, product, and customer-facing teams. Issues surfaced during support interactions were routed to developers who understood the relevant code, reducing resolution times. Product decisions were informed by engineers who had direct context on what was technically feasible within the current sprint, improving planning accuracy.

95%

delivery of a scalable, dependable platform,

The platform's architecture and infrastructure were strengthened to handle continued growth — supporting the expanding client base without proportional increases in operational overhead. When SpaceIQ later merged with iOFFICE to form part of Eptura, the engineering foundation Motomtech helped build was robust enough to support the integration demands of one of the IWMS industry's largest consolidations.

Challenge

SpaceIQ's platform had reached the stage where growth was simultaneously the biggest opportunity and the biggest risk. The expanding global user base meant more clients, more revenue, and a stronger market position — but it also meant that any performance degradation, downtime, or missed feature commitment had a larger blast radius. Facilities teams at enterprise clients were using SpaceIQ to manage real-time desk booking and space allocation for thousands of employees; a platform outage during peak morning booking hours could directly impact productivity across multiple floors and buildings. The engineering challenge was twofold. First, the existing live applications — both web and mobile — needed continuous maintenance to ensure high availability and consistent performance as traffic grew. Every release needed to be shipped without introducing regressions that could affect the booking workflows and analytics dashboards that clients depended on daily. Second, SpaceIQ's product roadmap was ambitious. The hybrid work trend was creating demand for features that hadn't existed two years earlier: real-time occupancy sensors, flexible hot-desk policies, neighborhood-based seating, and predictive space utilization models. Competitors were racing to ship similar capabilities, and any delay in SpaceIQ's roadmap risked losing deals to faster-moving alternatives. SpaceIQ also needed a team that could integrate seamlessly with its internal development workflows. The platform had been built by a specific engineering culture with established patterns and conventions, and any external team needed to match that standard — not introduce friction by operating with different tools, different review processes, or different quality expectations. The partnership needed to feel like an extension of the team, not an outsourced function.

Solution

Motomtech partnered with SpaceIQ through a Staff Augmentation model, providing a dedicated team of 9 full-time developers to support ongoing development and system maintenance. The team was embedded within SpaceIQ's engineering organization, participating in sprint ceremonies, code reviews, and architecture discussions alongside internal engineers. The 9-person team provided the capacity SpaceIQ needed to simultaneously maintain live platform reliability and deliver new features at a competitive pace. Rather than splitting attention between firefighting and building, the team's size allowed for dedicated capacity on both tracks — with clear ownership and accountability for each. The team worked across both the SpaceIQ web platform and its mobile application — using .NET and C# on the backend services that powered the platform's core workflows, and React Native for the cross-platform mobile experience that field-facing facilities teams relied on.

Phase 1

Platform Stabilization & Integration

The engagement began with the Motomtech team integrating into SpaceIQ's development workflows and taking ownership of platform stability. The first priority was ensuring that the live web and mobile applications were performing reliably under growing load. The team conducted a thorough review of the existing codebase, deployment processes, and monitoring infrastructure to identify areas where stability could be strengthened. During this phase, the team focused on resolving existing bugs, addressing performance bottlenecks in high-traffic user flows (particularly desk booking and space search), and improving the deployment pipeline to reduce the risk of regression during releases. Each team member was onboarded into SpaceIQ's tooling and conventions, with pairing sessions and code reviews establishing the shared quality standards that would govern the rest of the engagement. By the end of this phase, the Motomtech team was operating at full velocity within SpaceIQ's sprint cadence, with clear ownership of specific platform areas.

Phase 2

Feature Development & Roadmap Delivery

With platform stability established, the team shifted emphasis toward delivering features from SpaceIQ's product roadmap. The hybrid work market was evolving rapidly, and SpaceIQ's enterprise clients were requesting capabilities that would help them manage increasingly complex workplace scenarios — from neighborhood-based seating assignments to occupancy analytics that could inform real estate portfolio decisions. The developers worked across multiple areas of the platform, implementing new modules and enhancing existing ones based on stakeholder feedback and market demands. Each feature followed SpaceIQ's established development lifecycle: ticket refinement, implementation, automated testing, code review, staged deployment, and production validation. Through continuous coordination with SpaceIQ's internal teams, Motomtech ensured alignment with product goals and delivery timelines. The team's contributions helped SpaceIQ stay competitive in the dynamic facility management industry by shipping features that addressed the specific needs of hybrid workplace management — the category where buying intent was strongest. Sprint velocity was tracked and reported, with the combined internal and Motomtech team consistently meeting or exceeding commitment targets.

Phase 3

Continuous Delivery & Scale Support

As SpaceIQ's customer base continued to grow, the engagement evolved into a sustained model focused on continuous delivery and operational excellence. The team balanced ongoing feature work with the maintenance responsibilities that a scaling platform demands — performance optimization, infrastructure improvements, and the gradual resolution of technical debt that accumulates when a product is growing faster than originally planned. The team's deep familiarity with the codebase — built over months of embedded work — was a significant advantage during this phase. Features that would have required weeks of ramp-up for a newly onboarded team could be shipped in days, because the developers understood not just the code but the product intent behind it. This continuity also meant that institutional knowledge about past architectural decisions, known edge cases, and client-specific configurations was retained within the team rather than lost to turnover. The result was a platform that adapted to the evolving demands of workplace management without sacrificing the reliability that enterprise clients required.
